Job Summary
Under limited supervision, uses advanced skills gained through training and experience to process a wide variety of settlement activity and assist in monitoring the day-to-day work flow of the department. Works closely with the department supervisor to ensure established processing timeframes are met and the department remains fully compliant with all rules/regulations instituted by the firm and various regulatory bodies. Requires knowledge and use of SIS, Impact and other settlement systems (DTCC, FBE and NSCC) to perform various job duties. Participates in the preparation and closing of Municipal and Syndicate IPO underwritings, including the tracking of the shares in the secondary market. Extensive contact with both internal departments and external firms is required when researching and resolving settlement problems. Overtime may be required due to heavy trade volume and/or balancing reconcilement. Cross training on all job functions in the department is expected.
Essential Duties and Responsibilities
Monitors fails, extensions, and closeouts on DVP accounts to ensure the Firm remains compliant with Reg T
Monitors firm equity and bond deficits to ensure the firm is 15c-3 compliant
Monitors daily settlement balancing to ensure correct intra-day estimate figures and end of day settlement figures are accurately reported to Treasury Management
Calculates market and firm risk when working on trade settlement problems
Prepares IPO paperwork for DTCC and the Transfer Agent participate in IPO closings
Works with branches, contra firms and depositories to resolve trade problems
Actively pursues fail resolution by monitoring Broker and DVP accounts and following established department procedures and industry regulations
Researches and resolves trade problems due to changes on the original price, commission or instructions
Resolves monetary or stock record out-of-balances
Provides support or fills in for other department associates during absences or high volume.
Updates and reviews department procedures as processes change
Assists with establishing and enforcing departmental policies
Works with management team to streamline processing procedures and improve workflows, reduce costs and minimize exceptions without hindering service levels
Supports department management through active participation in unit team meetings and ongoing cross-training
Provides training, guidance and assistance to other associates as required
Assists in the supervision and review of lower level associates' work performance
Performs other duties and responsibilities as assigned
Qualifications
Knowledge, Skills, and Abilities
Knowledge of
Basic mathematical/bookkeeping skills including addition, subtraction, multiplication, division, percentages, fractions, averages and balancing sufficient to complete settlement
General office practices, procedures and methods
General accounting procedures
DTCC and Fed depository settlement rules and time cut-offs
15c-3 possession and control rules regarding customer fully paid securities and fail resolution
Reg T as applicable to DVP accounts
MSRB Rule G-12 municipal close-outs
Skill in
Operating standard office equipment and the use of Microsoft Office applications (Word, Excel, Outlook and Access) at an intermediate to high level to create documents, spreadsheets, and business correspondence
Accurate 10 Key and data entry
Organization and time management sufficient to prioritize workload, handle multiple tasks, and meet critical deadlines
Calculating percentages, balance accounts, and provide statistical data
Ability to
Work well under pressure due to stringent timeframes and high trade volume

Educational/Previous Experience Requirements
Associate's Degree and a minimum of three (3) years general work experience and one (1) to two (2) years industry experience preferred
