What is the opportunity?

RBC Shared Services Malaysia is a processing centre of operational excellence supporting multiple RBC businesses across various time zones. Malaysia is one of operational processing centres within RBC supporting a variety of businesses and Functions including Wealth Management, Capital Markets, I&TS, GRM, and Finance. The entity utilizes a Global Operating Model to maximise efficiencies across times zones and supports various shifts to ensure ongoing support across time zones. The objectives for Malaysia are to enhance the scalability of RBC's global operations, improve service quality via our centres of excellence' and to implement/leverage standard processes.

As a Senior Analyst, you will be responsible to support and drive day to day HR Operations and administrative support for RBC Shared Services Malaysia Human Resources, which includes Payroll Administration, HR Services Delivery.

What will you do?

  • Bold, High Impact HR Operational HR Management and Service Delivery

Payroll Administration

  • Handles day to day payroll administrations for Malaysia.
  • Ensures payroll is processed timely, accurately and in compliance with company and local regulations.
  • Supports and maintains different types of trackers / templates including but not limited to FTE Tracker, Shift Template, Overtime Template, New Hire Template, Payroll Instruction Template, Promotion Tracker, etc.
  • Prepares monthly payroll reports.
  • Responsible for statutory updates (i.e. new hires registrations & resignations update on statutory portal).
  • Supports and assist with the referral award to ensure accurate record are in place.
  • Performs Workday updates based on requirement.

HR Services Delivery

  • Maintains the Personal file (P-file) for Malaysia employees for entire employee life cycle. i.e. from joining to exit.
  • Ensures mandatory documents are received (from candidates, business, HR and employees) and stored in agreed Physical and Digital formats.
  • Ensures P-file records are kept in compliance with Company's data retention schedules and local regulations.
  • Supports in off-boarding process including tracking and updating resignation tracker, co-ordinates the cancellation of access with Access Management, and return of access card to Admin/HR.
  • Assists in expatriate administration (i.e. Employment Pass & PVP).
  • Handles the staff insurance / benefit administration activities (i.e. enrollment, changes, and termination).
  • Assists in issuing HR related letters as required.
  • Supports in handling Workday data issues and enquiries.
  • Supports other adhoc HR duties as assigned.

Exceptional Employee Experience

  • Supports in assessing and responding to employee queries.
  • Works collaboratively with team members and provide assistance to local and global HR teams and HR Centres of Excellence when required.
  • Supports the execution of change whilst assisting local HR employees with required data.
  • Contributes to an exceptional experience through strong people practices that amplify our Collective Ambition and inspire, support and empower our employees to do their best.
  • Coordinates performance and service awards.
  • Assist on Insurance claims by sending original claim to AIA and Liaising with employee on any AIA rejected claim.
  • Dealing with employees for collection of the following letters/card - AIA rejected claim, Sunlife statement, Inland Revenue letter and Collection of AIA card.
  • Assists and drives day to day operations of HR functions and duties as assigned.

  • Supports HR projects/ initiatives as assigned.
  • Supports compensation and talent processes as assigned.

What do you need to succeed?

Must-have

  • Undergraduate degree in Human Resources, business, or related discipline plus HR certification preferred.
  • Typically 2- 4 years of related experience in Human resources experience and knowledge prior financial services experience strong Excel skills (VBA and Macro capability preferred).
  • Strong analytical, presentation and project management skills.
  • High degree of organization and logic.
  • Strong Business and Consulting Orientation.
  • Innovative problem-solving skills and demonstrated ability to make appropriate decisions.
  • Strong customer service and relationship building skills.
  • Change leadership, Strategic mindset, Innovative and creative thinking.
  • As a guideline to ensure a reasonable time is spent in a role, you are expected to have at least 12 months of service in your current role for any lateral move.
