How youll spend your time...
- Diary management help to manage a complex diary, arranging virtual and in person internal and external meetings.
- Travel booking arranging flights, trains, taxis and accommodation in line with Columbia Threadneedle travel policies, ensuring approvals are gained where necessary. Arranging travel itineraries and documentation to ensure a smooth travel experience.
- Plan the Weekly Distribution call managing the weekly schedule, organising guest speakers, collating information sheets and circulating follow-up notes.
- Arranging EMEA Distribution events. This includes virtual town halls of up to 200 people, London socials in our office for up to 100 people, and networking lunches for up to 20 people.
- Scheduling the Sales Leadership Teams 6-monthly onsite.
- Booking meeting rooms, arranging lunches and preparing meeting materials such as printing/collating
- Produce and submit expense reports.
- Update org charts and upload them onto the relevant intranet platforms.
- Admin duties which include arranging couriers, printing documents and general day to day tasks.
- Preparation of ad-hoc documents in Word, Excel & PowerPoint.
- Provide additional support where required, including cover of other PAs and picking up any administrative elements of Distribution.
- Management of distribution lists for EMEA Distribution, ensuring they are kept up to date.
To be successful in this role you will have...
- Previous experience in a PA role.
- Self-starter with the ability to work independently as well as part of a team you will also work closely with other PAs.
- Strong administration and organisational skills.
- Attention to detail, ensuring you can focus on all areas of a task.
- Intermediate in Office, Word, PowerPoint, and Excel.
- Able to handle confidential and sensitive business and personal information with discretion.
- Flexibility priorities get changed/added/cancelled at short notice.
- Excellent and effective communication, both written and verbal, at all levels.
- Able to work to tight deadlines and under pressure.
- Acts on own initiative.
- Superb time-management skills to allow for competing priorities.
