Summary
The Operations Coordinator is responsible for multiple support staff duties for a branch location and also acts as liaison to home office associates.
Essential Duties & Responsibilities
- Interacts with clients, advisors and operations via phone and email correspondence.
- Coordinates and processes incoming and outgoing mail.
- Responds to customer inquiries, research questions, resolves problems provides quotes and other information as needed.
- Submits orders as directed by the Financial Advisors ensuring accuracy (or calls in/faxes orders to main branch)and follows up where necessary.
- Reconciles checks, issues receipts and accurately balances daily.
- Assists in the opening of customer accounts and processes changes.
- Performs various administrative duties and maintains accurate customer account records.
- Provides reports and other information to Financial Advisors as needed.
- Acts as liaison between branch/satellite and home office personnel (i.e. questions, paperwork, etc.).
Qualifications
- Provide exemplary service to clients with exceptional interpersonal skill and written/verbal communication.
- Basic understanding of economic and accounting principles and practices, the financial markets, banking and the analysis and reporting of financial data.
- Ensure the proper use of your own time and the time of others, including work prioritization.
- Ability to communicate well with supervisors and peers.
- Effective organizational skills with strong attention to detail and an ability to manage time efficiently to meet tight deadlines while assisting with a high volume of requests.
- Ability to meet deadlines while helping brokers (FAs) maintain compliance status.
Education & Experience
- Minimum required High School Diploma or equivalent.
- No experience required, 1+ years of similar work experience preferred.
Licenses & Credentials
- Minimum Required Series 7 & 63 licenses required within one year of start date.
Sytems & Technology
- Proficient in Microsoft Excel, Word, PowerPoint, Outlook.
- Experience with Thomson One & Beta, EQuest.
- Contact with OTC Trading, Mutual Funds and their source companies, Security Transfer, Reorg, Bond Desk, Order Room, Compliance, New Accounts, Annuity Processing, Stock Records, Retirement, Treasury, Margins, Client Services.
