Key Responsibilities

  • Perform or request that all system updates related to regulatory mailings which includes but is not limited to maintaining web based system used to drive prospectus supplement delivery at point of sale for direct shareholder population and updating prospectus/supplement effective dates on the shareholder record keeping system and including name changes.
  • Lead all Product and Fund Regulatory Mailings (prospectuses, supplements and annual reports) including oversight of vendor, determination of population/volumes, delivery of materials, conveyance of postage and ensuring timely mailing. Provide PDF documents and/or web ready links of prospectuses and supplements to various fulfillment vendors in a timely fashion.
  • Provide research and analysis (quantitative and qualitative) of data information from multiple sources and make recommendations to improve/make updates to processes, policies, forms and procedures relating to shareholder communications.
  • Partner with leadership in the planning, organization and management of activities and tasks related to fund proxy solicitations, mailings and tabulation as well as exercise oversight of proxy vendor.
  • Review, approve and submit for payment, vendor invoices to ensure accuracy and timely payments to our mail vendors.
  • Partner on projects across the organization as vital.
  • Make recommendations on process improvements and work with internal and external partners to implement these improvements as appropriate.

Required Qualifications

  • Bachelors degree
  • 3 - 5 years of proven experience (*education and relevant work experience may be interchangeable).
  • Strong leadership & decision making skills.
  • Effective communication (including strong writing and editing), analytical, decision making, organizational and skills.
  • Collaborate optimally with others, possess excellent interpersonal and communication skills.
  • Ability to influence and possess leadership proficiencies including negotiation and consensus building.
  • Possess a high degree of initiative, self-motivation, organizational and problem solving skills
  • Strong writing and editing skills. Works optimally with all levels within the organization.

Preferred Qualifications

  • Demonstrated tact and poise during high pressure situations.
  • Ability to work in a multi-tasked in constantly evolving environment.
