Job Description

This position will be responsible for working with the US Administrative team within the Global Client Group supporting one of the co-heads of our Independent Advisor Group (IAG) and a team of their Regional Directors in our Charlotte office.

Responsibilities

  • Strategically partner with the sales team to alleviate workload and create efficiencies.
  • Proactively manage calendars, make appointments, book conference rooms, organize meetings.
  • Create and process expense reports.
  • Assist with domestic travel arrangements.
  • Assist with planning internal and external meetings and events and act as a company representative.
  • Fulfill all collateral requests, in house binding, or warehouse orders for presentation decks or Dimensional marketing materials.
  • Participate in weekly rotational duties that support all Global Client Group Channels (e.g., client site access).
  • Provide Dimensional conference support in the form of email campaigns, marketing list maintenance, invitation management, and team reminders.
  • Provide client event support in the form of internal approval process

  • Coordinate new employee onboarding for all new sales Associates, Senior Associates, and Regional Directors within the respective channel(s).
  • Create and/or maintain internal channel intranet pages (Confluence, SharePoint).
  • CRM maintenance and ad hoc projects.
  • Build and maintain productive working relationships with your team and across departments.
  • Manage across multiple priorities simultaneously with a proactive, anticipatory mindset.
  • Various administrative tasks and projects as assigned.

Skills and Qualifications

  • Able to bring positive energy to all situations and interactions.
  • Strong communication skills, both verbal and written.
  • Strong organizational skills and an unwavering attention to detail.
  • Able to work well in a team-oriented environment.
  • Self-starter who can juggle multiple tasks at once through effective time management.
  • Can identify needs proactively and offer solutions.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Bachelors degree and a minimum of three years administrative experience required.
  • Experience with online expense reporting tools Concur is preferred.
  • Experience planning meetings and events.
  • Experience supporting multiple team members.
  • CRMexperience a plus, specifically Microsoft Dynamics.
  • Familiarity with investment advisory or mutual fund operations a plus.
