Job Description

The Northwest Region Asset Management Team is responsible for the day-to-day operations of a growing 12 million square foot real estate operating portfolio across five (5) markets. The Analyst will provide administrative support and operational coordination to various leaders and team members.

Position Summary

Essential Job Duties

  • Prepare/update reports, memos, letters, presentations, and other documents, using Microsoft Office applications (including Excel and PowerPoint)
  • Organize and file all asset management and general corporate related documents (both Hard and Soft files)
  • Create Excel worksheets to organize large amounts of data, including comps, and analyze data as necessary
  • Coordinate all travel arrangements (air, lodging, transportation, meal reservations, etc.) and submit subsequent expense reports in a timely manner
  • Assist in post-close obligations for new acquisitions and maintain the weekly Transition Checklist
  • Complete tenant notification letters, establish file-sharing sites, gather lockbox, banking information, etc.
  • Assist Asset Managers with property level tasks, including review of service contracts and purchase orders, lease, budget, and capital tracking, and tracking property management and leasing agreements
  • Manage and maintain managers' contact databases, schedules/calendars for meetings, presentations, events, etc.
  • Assist in the preparation of quarterly, annual and other ad hoc reporting documents
  • Perform various property related tasks which may include running reports in Yardi, reviewing marketing materials, organizing materials for meetings, etc.
  • Maintain effective communication with other members throughout Ares and with third party property managers and leasing brokers
  • Consistently represent the organization in a professional and courteous manner
  • Assist Asset Managers with the coordination and planning of marketing events
  • General office management duties, including answering phones,
  • greeting/accommodating
  • Coordinate various onboarding needs for new hires
  • Complete other duties as required

Required Knowledge, Skills and Abilities

  • Position typically requires a minimum of 1-3 years administrative support experience real estate experience strongly preferred.
  • Proven proficiency and advanced knowledge of Word, Excel, PowerPoint, Outlook, Adobe Acrobat, and the Internet required.
  • Demonstrated ability to be professional, presentable, articulate, organized, conscientious, dependable, polished and comfortable in fast-paced environment required.
  • Ability to work on multiple projects required. Ability to maintain confidentiality required.

Compensation

The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.
