POSITION OVERVIEW

The Legal Billing Administrator will report to the Legal Billing Manager in Apollo's LTC department. There will be two main components to this person's responsivities

They will be responsible for reviewing legal invoices, evaluating the validity of charges on each invoice and processing the invoice in accordance with Apollo's Outside Counsel Manual guidelines.

The Administrator will adhere to the defined Legal Billing process when reviewing legal invoices, with a focus on determining the correct allocation (i.e. FIRM, FUND codes).

PRIMARY RESPONSIBILITIES

  • Review, allocate and log incoming law firm vendor invoices
  • Analyze vendor invoices for accuracy and compliance with the firm's outside counsel manual
  • Review open items routinely and escalate issues for resolution to the Legal Billing Manager
  • Ensure the firms billing rates and related discounts are correct upon invoice submission
  • Corresponding with law firms to reconcile bills, making necessary adjustments and to educate the firms with respect to our billing practices
  • Perform general research with regards to historical billing issues or payment history
  • Summarize and present findings in a succinct manner to reviewing Attorneys when needed

  • Ability to learn quickly and familiarize oneself with Apollo's legal parameters

  • Basic skills with Microsoft Excel
