LFE European Asset Management (formerly Oaktree Capital Management (Lux.)) is a joint venture between Brookfield Asset Management and Oaktree Capital Management and is a regulated entity supervised by the Luxembourg Commission de Surveillance du Secteur Financier (CSSF) to provide services as alternative fund manager across Europe. Our role is to provide independent governance and oversight to Oaktree and Brookfield's Alternative Investment Funds (AIF), with rigorous risk controls, working in internal partnership with the group entities to support growth in Europe while adhering to the highest standards of integrity.
Scope and Responsibilities
The Administrator reports to the Senior Company Secretary and will be responsible for
- Supporting the various AIFM operational functions including Company Secretarial, Delegation Oversight, New Products & Fund onboarding Depositary Oversight etc. and
- Ensuring all administrative activities will be performed following the business needs.
Main responsibilities
- Support the Company Secretarial function in maintaining a physical and digital filing system and in general requests
- Treatment of incoming and outgoing mail (open, scan, rename, file, forward to the relevant stakeholders)
- Uploading legal documents to both firms electronic platforms
- (Diligent/BluePrint/LED)
- Filing of various documentation with RCS/RBE
- Collection of signatures of board members for a wide range of legal documents
- with apostil of documents
- Notarization/certification
- Assisting in the ongoing activities for the launch of new products in Luxembourg (opening bank accounts, filling in forms, collection of other documents etc.)
- Assisting with various KYC requests from banks and service providers
- Coordinating between our legal, marketing, investment management and all other internal parties in ensuring all fund documentation is kept up to date and relevant to the product and marketing needs
- Assisting with the scheduling of board meetings
- Assisting with drafting board minutes
Experience required
- Experience in a similar environment in a role of the administrator, administrative assistant, coordinator or similar in the AIFM and/or service provider in Luxembourg
- Knowledge of filling requirements and process for RCS/RBE fillings
- Experience in working with data management electronic platforms
- Intermediate to advanced skills on MS Word, Excel and PowerPoint and Adobe Acrobat
- Ability to multitask and keep track of progress for multiple items
- Basic understanding of corporate governance
- Strong administrative and organizational skills are essential
