Scope and responsibilities

The position would suit a highly proactive and flexible Administrative Assistant with office management experience and excellent organizational skills as well as proven experience operating in a fast moving, growing professional services business. Based in Luxembourg, the Administrative Assistant responsibilities will be mainly

Managing and overseeing daily office administrative and management tasks as indicated below.

Management Assistant / Administrative Support 70%

  • Liaising with internal and external contacts to set up meetings and calls whilst assessing priorities and demands. Coordination of complex diaries across multiple time zones with other administrative assistants in the Oaktree and Brookfield teams including AIFM branches CRMs, AIFM Conducting Officers, Company Secretarial, and Accounting teams, Brookfield and Oaktree finance and operations, tax and legal teams, etc
  • Support for Senior Management visiting the office from overseas. Work closely with other Administrative Assistants in the Oaktree and Brookfield teams to coordinate AIFM and Senior Management visits overseas and to Luxembourg respectively
  • Handling the Travel & Entertainment (T&E) expenses reimbursement process for senior marketing professionals located in different EU jurisdictions, such as compiling and sending supporting documents, preparing and submitting expense reports, and maintaining organized filing systems. Completion of expenses using Workday and/or Concur in line with T&E policies
  • Management of paper folders (e.g. creating new folders, handling archives). Updating and keeping archive and document registers up to date. Ensure that company standards are met regarding documentation processes
  • Dealing and managing correspondence, scanning and filing of documents and distribution via email to the respective teams
  • Support and work closely with the Company Secretarial team on the collection of signatures for the AIFM when required
  • Preparation of meeting documentation, including preparing Power Point presentations, printing and binding
  • Any other ad hoc duties requested by management

Office Management / Reception 30%

  • Management of various office service providers (office supplies orders, coffee machine, etc.).
  • Management of orders and various IT related topics (printer / phones)
  • Various errands (food / drinks)
  • Lunch orders (during (board) meetings) and event
  • (lunch/dinner)/meetings
  • Set up IT for video conferencing
  • Office space management with the asset manager
  • Handling of incoming calls, the switchboard, and messaging
  • Welcoming visitors
  • Other ad hoc tasks

Experience required & technical skills

  • Minimum 4-6 years relevant experience in similar type of role
  • Excellent organization and communication skills
  • Strong sense of responsibility

  • Excellent organizational and time management skills
  • Proficient knowledge of Microsoft Outlook, Word and PowerPoint Previous experience using Concur would be desirable but not essential.
