Job Description
This position will be responsible for providing administrative support for the Compliance and Risk leadership team and will play an active role in assigned projects, reporting, and operational processes.
Dimensional's Compliance and Risk Department is responsible for navigating risk and managing regulatory environments around the globe, including helping the firm conduct business and tell its story while remaining compliant with industry laws and standards. We help oversee the process to identify, assess, and implement controls for key risks before they materialize. Team members work in consultation with other areas of the firm and are committed to quality and accuracy in all that they do. The team is empowered to identify underlying patterns that impact the firm and provide forward-looking solutions.
RESPONSIBILITIES
- Support Global Chief Compliance Officer, Deputy Chief Compliance Officer, Head of Risk Management, and other members of the leadership team as needed.
- For selected projects and processes, prepare and assemble data, perform quality assurance, develop initial drafts of documents or presentations, and assist with delivery and finalization, as needed.
- Coordinate insurance processes to include small claims, application renewal, maintenance of procedures, policy tracking, and invoice tracking and payment.
- Proactively manage calendars, make appointments, book conference rooms, organize meetings.
- Coordinate department meetings.
- Respond, track, and coordinate requests from clients (inquiries, RFPs, due diligence meetings, etc.)
- Assist with the preparation of client and internal presentations to include slide development, quality assurance, coordination, and distribution.
- Coordinate hotel and flight accommodations for the leadership team.
- Track and submit expense reports monthly for the leadership team.
- Maintain department logs (i.e. client interactions, gifts and entertainment, travel).
- Maintain and assist with department business continuity plan.
- Create and/or maintain internal department pages and biographies. (Confluence, SharePoint)
- Build and maintain productive working relationships with your team and across departments.
- Purchase and allocate department expenses (P-card) while coordinating with vendors and employees.
- Special projects as needed.
SKILLS AND QUALIFICATIONS

- Self-starter who can juggle multiple tasks at once through effective time management.
- Can identify needs proactively and offer solutions.
- Strong understanding of core business tools including PowerPoint, Excel, Outlook, and Word and aptitude to learn new tools and systems.
- Experience with business analytics tools (i.e. PowerBI), preferred.
- Excellent problem-solving skills.
- Bachelors degree or a minimum of two years administrative or analyst experience required.
- Able to work equally well in a team environment and independently.
- Self-starter who is capable of managing multiple projects and meeting deadlines.
- Able to work well under pressure.
- Flexible.
- Familiarity with investment advisory or mutual fund operations, a plus.
