About this role

BlackRock is looking for an administrative assistant to support the senior management of the Aladdin team. The Aladdin team is responsible for delivering data solutions and insights to clients and internal stakeholders as well as engineering & managing new products that sit within the Aladdin framework. The personal assistant will be a key member of the team, providing administrative, organizational, and logistical support to the senior managers and the wider team. The ideal candidate will have excellent communication, interpersonal, and problem-solving skills, as well as a high level of discretion and confidentiality.

Responsibilities

  • Manage the calendars and schedules of the senior leaders, ensuring they are well-prepared for meetings and events
  • Coordinate travel arrangements, expense reports, and visa applications for the senior leaders and the team
  • Organize and facilitate team meetings, workshops, and offsites, including preparing agendas, minutes, and materials
  • Organise the itineraries of visitors, co-ordinate conference rooms and materials.
  • Meeting and event preparation and organization across multiple locations.
  • Build networks with teams in other regions, global Executive Management and their assistants along with local business partners.
  • Keep the Aladdin leadership team informed of opportunities to better connect the Aladdin organisation together and with the wider Edinburgh office and management team (visitors, events, initiatives etc)
  • Perform ad hoc project work and provide additional assistance to teams as required.
  • Assist with the onboarding and orientation of new hires and interns
  • Support the collation and distribution of internal Aladdin marketing and update materials

Qualifications

  • Bachelors degree or equivalent experience in business administration, management, or a related field
  • At least 3 years of experience as a personal assistant, executive assistant, or a similar role in a fast-paced and dynamic environment
  • Proficient in Microsoft Word, PowerPoint, Excel, and other relevant software and tools
  • Excellent verbal and written communication skills in English
  • Strong organizational, time management, and prioritization skills, with the ability to multitask and handle multiple deadlines
